# Impact Studio Rental Agreement

By signing below, you ("Renter") agree to the following terms and conditions for use of the Impact Studio space and/or equipment operated by JHR Photography LLC ("Company").

## 1. Studio Policies & Operating Rules

- **Hours of Operation:** The studio is available for rental between **7:00 AM and 11:00 PM**, seven days a week. All activity must conclude, and the studio must be vacated, by the scheduled end time. - **Overtime:** Any use of the studio beyond the reserved time block will be billed at **1.5x the standard hourly rate**, calculated in 30-minute increments. - **Setup & Strike:** Setup and teardown time are included in your reserved window. Plan accordingly. - **Cleaning:** The studio must be returned to the condition in which it was found. Renter is responsible for removing all trash, props, and personal items. A **$150 cleaning fee** will be applied if the space requires additional cleaning after your session. - **Parking:** Parking is available on-site at no additional charge. Do not block shared access areas. - **Noise & Neighbors:** The studio is located in a shared commercial building. Please be respectful of noise levels, especially before 9:00 AM and after 8:00 PM.

## 2. Liability Waiver

- Renter acknowledges that use of the Impact Studio and its equipment involves inherent risks, including but not limited to electrical hazards, tripping hazards, and heavy equipment. - **Renter assumes all risk** for injury to themselves, their employees, contractors, talent, and guests while on the premises. - Renter agrees to **indemnify, defend, and hold harmless** JHR Photography LLC, its owners, employees, and agents from and against any and all claims, damages, losses, and expenses arising out of or related to Renter's use of the studio. - **Insurance Requirement:** Renter must carry a minimum of **$1,000,000 in general liability insurance** and provide a Certificate of Insurance (COI) naming JHR Photography LLC as an additional insured prior to the rental date. Failure to provide a COI may result in booking cancellation.

## 3. Equipment Rental Terms

- All rented equipment remains the property of JHR Photography LLC. - Renter is **fully responsible** for all equipment from the time of pickup/access through the time of return. - Equipment must be returned in the same condition it was received. Normal wear and tear is expected; damage beyond normal use will be charged to the Renter. - **Loss or Damage:** Renter agrees to pay the full **replacement cost** of any lost, stolen, or damaged equipment. Replacement costs will be charged to the credit card on file. - Equipment may not be sub-rented, loaned, or transferred to any third party. - Renter must report any equipment malfunction or damage immediately.

## 4. Security Deposit Terms

- A security deposit may be required based on the scope of the rental. The deposit amount will be communicated at the time of booking. - The deposit will be **returned within 24–72 hours** after the rental concludes, provided no damages, cleaning fees, or overtime charges apply. - If damages or additional charges are incurred, the applicable amount will be deducted from the deposit. If costs exceed the deposit, the remaining balance will be charged to the credit card on file.

## 5. Cancellation Policy

- **48+ hours before rental:** Full refund. - **24–48 hours before rental:** 50% refund. - **Less than 24 hours before rental:** No refund. - Cancellations must be communicated in writing via email to **info@jhr-photography.com**. - JHR Photography LLC reserves the right to cancel a booking at any time due to facility issues, safety concerns, or force majeure. In such cases, a full refund will be issued.

## 6. Content, Safety & Conduct

- **No open flames** of any kind are permitted inside the studio without prior written approval and appropriate safety measures. - **Smoke bombs, fog machines, or haze machines** are prohibited unless pre-approved in writing. Unauthorized use will result in a **$500 fine** plus any cleaning or damage costs. - **Alcohol:** Alcohol consumption on the premises requires advance written approval. Renter assumes full liability for any incidents related to alcohol. - **Illegal Activity:** Any illegal activity on the premises will result in immediate termination of the rental with no refund. - Renter is responsible for the conduct of all guests and crew on-site during the rental period. - **Content Disclosure:** Renter must disclose the general nature of the production at the time of booking. JHR Photography LLC reserves the right to decline or terminate a booking if the content violates Company policies.

## 7. Credit Card Authorization

By providing a credit card, Renter authorizes JHR Photography LLC to charge the following:

1. **Rental fee** — the total quoted amount for studio time and equipment. 2. **Damages** — repair or replacement costs for any damaged or lost equipment. 3. **Overtime charges** — at 1.5x the hourly rate for time used beyond the reservation. 4. **Cleaning fee** — $150 if the studio requires additional cleaning. 5. **Pre-authorization hold** — a **$10.00 pre-authorization** will be placed on the card to verify it is valid and active. This hold will be released automatically and is not a charge.

Renter acknowledges that the credit card on file may be charged for any of the above without additional notice if charges are incurred during or as a result of the rental.

## 8. Agreement

By signing below, Renter confirms they have read, understand, and agree to all terms and conditions outlined in this Rental Agreement. This agreement is binding and applies to all individuals present during the rental period under Renter's booking.
